Proposal Engine: PandaDoc built around your revenue team.

For teams with multiple sellers, real pricing complexity, and a HubSpot-first stack. We remove the manual quoting step entirely: live CRM data, pricing rules that enforce themselves, and (optionally) AI drafting on top. Proposals arrive already written. Your reps review and send.

The flagship tier

When quoting is a bottleneck for the whole revenue team

Proposal Engine is what you buy when Foundation and Accelerate are not enough: the sales team is 5, 10, 20 people, the pricing has real logic, HubSpot is the source of truth, and the proposal step is where deals slow down or errors sneak in.

We build the full system: templates, CRM-native data flow, CPQ rules, approval routing, and (when it fits) AI drafting on top. Fixed-scope, quoted upfront. You always know the number before we start.

  • Certified PandaDoc Premier Partner, building proposal engines every day.
  • HubSpot-native by default, with deep two-way data mapping.
  • Fixed-scope engagements. No hourly surprises.

What is included in a Proposal Engine build

Scoped to your business, not a generic package. Everything below is on the menu.

Discovery and blueprint

We map your sales process, deal shapes, pricing rules, and CRM data. You get a written blueprint before any build begins.

Templates and content library

Branded, variable-driven templates and a content library your whole team pulls from. Locked structure, dynamic content.

CRM and pricing integration

Two-way sync with HubSpot, Salesforce, Pipedrive, or Attio. Product, pricing, and deal fields mapped end-to-end.

CPQ and approval workflows

Guided quoting rules, discount thresholds, approval routing. Nothing goes out that shouldn't.

AI-drafted proposals (optional)

The Autopilot connector adds AI drafting on top of your live data, so proposals arrive already written.

Rollout and 60-day support

Full team training, launch support, and iteration for 60 days. Then optional Proposal Engine Care for ongoing partnership.

Doing it yourself vs. Proposal Engine

Building it in-house

  • Templates that break on Word imports
  • Manual CRM copy-paste per quote
  • Pricing errors caught on the send
  • Reps skip PandaDoc under time pressure

With Proposal Engine

  • Templates that pull live deal data
  • CRM-native, mapped end-to-end
  • Pricing rules that enforce themselves
  • Reps use PandaDoc because it is faster

What is Proposal Engine?

Proposal Engine is our flagship PandaDoc implementation for revenue teams. It is the top tier of our service ladder, built for teams with multiple sellers, real pricing complexity, and a HubSpot-first stack. You get CPQ, automated proposals from CRM triggers, and optional AI drafting on top of live deal data.

How is Proposal Engine different from Foundation or Accelerate?

Foundation gets PandaDoc set up cleanly. Accelerate makes a working setup fast. Proposal Engine removes the manual quoting step entirely, connecting live CRM data, pricing rules, and (optionally) AI so proposals draft themselves. It is designed for teams where quoting is a bottleneck for the whole revenue org.

Do we have to use HubSpot?

HubSpot is the most common CRM in our Proposal Engine builds and the one we go deepest on. We also build against Salesforce, Pipedrive, and Attio. If you use something else, book a call and we will confirm the integration path before quoting.

How much does Proposal Engine cost?

Engagements are fixed-scope and quoted upfront. Typical Proposal Engine builds start around $10K and scale with complexity: CPQ depth, integration surface, AI drafting, and volume of templates. You always know the exact number before we start.

How long does a Proposal Engine build take?

A focused build with a clean HubSpot instance and a defined product catalog can go live in a few weeks. Larger CPQ or multi-CRM projects run longer. We give you a clear timeline in the blueprint stage, before any build begins.

What happens after launch?

You get 60 days of guided rollout and iteration baked in. After that, most Proposal Engine clients move onto Proposal Engine Care, a monthly retainer for keeping the system sharp as your products, pricing, and sales process evolve.
